Configuring permissions in CashCloud allows you to control what each team member can access and manage within your workspace. Follow these steps to set up and customize permissions for your users.
Understanding Roles in CashCloud
Roles help you control what each user can access and manage in CashCloud. Each role includes a set of permissions, such as viewing payments, creating payees, generating reports, managing users, or configuring workflows.
To view your roles, go to Settings from the left sidebar. Under Company, select Users & Permissions, then open the Roles tab.
From the Roles tab, you’ll see a list of all roles available in your CashCloud instance. You can also search by role name to quickly find the one you’re looking for.
Preset Roles
Your CashCloud instance comes with preset roles designed for common user responsibilities. These roles are included by default and cannot be edited.
Preset roles include:
Owner
Admin
Accounting
IT
Approver
Signer
Print Manager
Template Designer
Report Designer
At the end of this article you can find a Roles and Permissions PDF that shows the full permission matrix for each preset role. You can use it as a reference when deciding which role to assign to a user.
Viewing Role Permissions
To view the permissions included in a role, click on the role from the Roles tab.
Inside the role details, permissions are grouped by category, such as Dashboard, Payments, Payees, Payors, Reports, Bank Accounts, Users, and more.
You can click on each category to expand it and review the permissions included. If you want to see everything at once, click Expand all to open all permission categories.
Preset roles are view-only, so you can review the permissions but cannot make changes to them.
Creating Custom Roles
If the preset roles don’t match exactly what your team needs, you can create a Custom Role.
Custom roles let you choose which permissions should be enabled for a specific group of users. This is helpful when you want to give users access to only the tools and actions they need.
To create a custom role, go to the Roles tab and click Create Role.
Enter a Role Name and a short Description so your team can easily understand what the role is for.
Next, configure the permissions for the role. Permissions are organized by category. You can click a category to review its available permissions, or click Expand all to open every category at once.
If you want to enable all permissions in a category, click Select all options. You can also turn permissions on or off individually if the role only needs access to specific actions.
Once you’re done, click Create Role to save it.
Editing Custom Roles
You can edit a custom role at any time by opening the role from the Roles tab.
From there, you can update the role name, description, or permissions as needed. Once your changes are saved, they apply to users assigned to that role.
Keep in mind that preset roles cannot be edited. If you need a different permission setup, create a custom role instead.
