Managing Your Payees

Manage all your Payees in one place. This module allows you to invite, upload, create, and manage Payees efficiently.

Create Payee

To create a new payee, click the Create Payee button. The form requires the following fields:

  • Payee Name 1 (Required): The primary name of the payee.

  • Payee Name 2: An optional secondary name for the payee.

  • Email (Required): The email address of the payee.

  • Account Number: The payee’s bank account number.

  • Routing Number: The payee’s bank routing number.

  • Payee Type: Select the type of payee from the dropdown menu (e.g., Vendor).

  • Payee ID: A unique identifier for the payee.

  • Country Code and Phone Number: The contact details of the payee.

  • Address Information:

    • Address Line 1: The primary address of the payee.

    • Address Line 2: An optional secondary address.

    • Country: The country where the payee is located.

    • State: The state where the payee is located.

    • City: The city where the payee is located.

    • Zip Code: The postal code for the payee’s address.

  • PayShift Settings:

    • Enable PayShift for this Payee: Toggle to enable or disable PayShift.

    • Select Preferred Deposit Method: Choose the deposit method (None, ACH, eCheck, Check).

Search and Filter

You can search for payees by Name or Email. Additionally, you can apply filters to narrow down your search results. The available filters include Payee Type, Deposit Method, and PayShift.

Invite Payees

To invite payees to join the platform, click the Invite Payees button. This opens a form where you can:

  • Enter the email addresses of the payees. Each email address should be separated by a comma or hit enter. You can invite up to 10 payees at a time.

  • Select deposit methods: Choose the deposit methods that will be available for the payees to select from. If you want to require your payees to use a specific deposit method, such as ACH, select only ACH. This ensures that the payees will only have the option to choose ACH during the onboarding process.

Inviting payees initiates the Payee Onboarding process to verify their profile details and deposit method/bank details.

Upload Payees

To import multiple payees, you can upload an Excel file with the required columns. The system allows up to 12 fields, with the only required field being the name. An example file can be downloaded for reference.

Payee Table

The Payee Table displays all the payees added to the system. Each payee entry includes columns for Name/Payee Type, Email, Bank Verification, Deposit Method, Payee ID, and Updated At.

  • Bank Verification statuses:

    • Bank Verified: Securely verified using bank credentials.

    • Manually Verified: User manually entered bank details, higher risk.

    • Unverified: No verification done.

Payee Badges - Verifying a Payee

Payee badges provide a quick visual indication of the payee's onboarding and verification status:

  • Green Badge: The payee has completed onboarding and verification of their profile.

  • Grey Badge: The payee is not verified. When you hover over a grey badge, you can see tooltips and have the option to request payee information.

Payee Actions

From the Payees module, you can take several actions on selected payees using the More Options dropdown menu. These actions are triggered when you select a checkbox next to a payee in the table. You can select one or multiple payees and take action in bulk. The actions include:

  1. Request Payee Info: Sends a request to the payee to provide or update their profile information. This initiates the Payee Onboarding process to verify their profile details and deposit method/bank details.

  2. Set Deposit Method: Allows you to set or change the deposit method for the selected payee(s).

  3. Enable/Disable PayShift: Toggles the PayShift setting for the selected payee(s).

  4. Delete Payees: Removes the selected payee(s) from the system.

Payee Onboarding

When inviting a payee or requesting more information, the payee receives an email to access the CashCloud Payee Portal. They will be prompted to confirm their profile information and verify their bank details. The onboarding experience includes:

  • Verification of profile details (Pay to name, address, phone)

  • Selection of preferred deposit method

  • Secure collection of bank details if not provided by the payor

PayShift Settings

If PayShift is enabled for a payee, they will go through the PayShift experience where they choose how they want to get paid. This is applicable if:

  • Their preferred deposit method is not selected.

  • PayShift is enabled for the bank account you are paying with.

  • The PayShift rule includes the payee in the rule.
