Adding and Managing Bank Accounts

Once you have added Bank profiles to your CashCloud account, you can create Bank Accounts that will be associated with the bank that will be used to associate Payments.

To get started, use the left navigation sidebar to select Settings. Under the Banks subgroup, select Bank Accounts. The page will refresh to display a dashboard listing all existing Bank Accounts linked to your CashCloud account. To search for a specific account, use the search bar on the upper left side of the page.

Add a New Bank Account

  1. Navigate to Bank Accounts:

    • In the Settings section, select Bank Accounts under the Banks subgroup.

    • A dashboard will display all existing bank accounts linked to your CashCloud account.

  2. Create a Bank Account:

    • Click the purple Create Bank Account button at the top right of the page.

    • Complete the form with the following details:

      • Bank: Select the bank you wish to use.

      • Account Nickname: An easy-to-remember name for this bank account.

      • Associated Payor: The bank account holder.

      • Currency: Specify the currency used for this account.

      • Account Number and Routing Number: Enter your account number and routing number.

        • ⚠️ Warning: ensure these numbers are correct since you will not be able to edit them once the bank account is added.

      • Account Type: Select the type of bank account (e.g., Savings, Checking).

      • Account Code: An optional code for further identification.

    • Payment Types: Select the Payment Types allowed for this bank account. You may choose:

      • Checks

      • Digital Checks

      • Direct Deposit (ACH)

      At least one payment type must be selected to save the bank account.

    • Check Information: If you select Checks, you will be prompted to complete the Check Information, including:

      • Check Number Length

      • Last Check Number Issued

      • Check Number Interval

      • MICR Line Optional Code

      • MICR Line Order

      • Allow Reprints (optional)

    • ACH Information: If Direct Deposit (ACH) is selected, the ACH Information section will appear with additional fields:

      • ACH Number Start: Defines the starting number for the Payment ID used in ACH-generated documents.

      • ACH Number Interval: Determines how the ACH Payment ID increments (for example, by 1, by 10, or by 100).

      • Immediate Origin ID: An ID assigned by the bank to identify the company sending ACH payments.

      • Company ID: A unique company identification number required by the bank for ACH transactions.

      • Effective Date: Specify how many business days after NACHA file generation the payment should be effective

      • Use a Different Routing Number for ACH: you will see this option if you have Checks and ACHs as payment types. If this toggle is enabled, an additional input will appear allowing you to enter an ACH Routing Number.

        • This ACH Routing Number will apply only to ACH payments.

        • The original Routing Number entered earlier will continue to apply to Checks and Digital Checks.

        • ⚠️ Warning: ensure this number is correct since you will not be able to edit it once the bank account is added.

    • Optional

      • Advanced Configuration: Set the Data Group and Output if needed.

      • Additional Bank Account Details: you can add notes for this bank account and add these to your check templates and to the Positive Pay file.

    • Click Save to create the bank account.

Manage Existing Bank Accounts

The Bank Accounts dashboard provides an at-a-glance view of the accounts you currently have linked to your CashCloud account. You can see the associated bank, last 4 digits of the account, account name, payment types you have authorized, data group, and output type.

To edit or delete an existing account, select the purple View button on the specific account you would like to view. After you have finished editing the information fields, select the purple Update Account button at the top right of the page.

To delete a Bank Account from your CashCloud account, select the Delete Bank button at the top right of the page. A pop-up will appear asking you to confirm your action. This will remove the account from your CashCloud profile. This action will not affect the associated Bank.

⚠️ Warning: For security reasons, once you create a bank account, you cannot edit the account and routing numbers. If you made a mistake entering these numbers, either delete the bank account and add it again, or contact support.
