Setting Up and Automating Positive Pay

Set up and automate Positive Pay to prevent check fraud. Learn to create entries, automate exports, and manage existing entries with ease.

Positive Pay is a service that helps banks detect fraud by comparing a company’s issued check with the check presented for payment. It is one of the several features CashCloud provides its users. Setting up Positive Pay allows you to automatically export a file of checks issued from your bank account, which can then be uploaded to your bank to prevent fraud.

To get started with Positive Pay, navigate to Settings, select the Banks subgroup, and click Positive Pay.

Create a Positive Pay Entry

  1. Select the purple Create Positive Pay button on the top right of the page.

  2. Select which Bank and Positive Pay Format you wish to use from the dropdown menus. You can choose any bank you have added to your account and also authorized to utilize the Positive Pay feature.

  3. Click the purple Create Positive Pay button at the top right of the screen.

Automating Positive Pay

When setting up a new Positive Pay entry, you have the option to automate the file export process. This authorizes CashCloud to automatically generate a file of checks issued at regular intervals.

  1. Follow the steps to create a new Positive Pay entry.

  2. Toggle the button next to Automatic Generation.

  3. Fill out the required information fields, including Connection Type, Site Address, Port, User, and Password.

  4. Enter a Folder Path. This is the location on your local device that the automated files will save to when they are exported. For example, you can enter /home/positivepay.

  5. Enter the desired Frequency that your Positive Pay reports will auto-generate. You can choose to have reports export hourly, daily, or weekly. Note: If you choose Hours as your Export Frequency, you can configure how many hours pass between each export by inputting a Frequency Value. If you choose Days as your Export Frequency, you can configure how many days pass between each export by inputting a Frequency Value. You can also select the Hour and Timezone when the report will be generated. If you choose Weekly as your Export Frequency, you can select which days of the week you would like to generate a report from the Days of the Week dropdown menu. You can also select the Hour and Timezone when the report will be generated.

Manage Positive Pay Entries

Select the Positive Pay entry you would like to manage from the Positive Pay dashboard. You will be brought to its dedicated entry page, where you can edit or update all information related to the chosen entry. You also have the ability to set up Automatic Generation or manually generate a file.

At the bottom of the page, you can see a History of all Positive Pay exports associated with this entry, as well as their current status.

To update a Positive Pay entry, select the Update Positive Pay button from the top right of the page.

To delete a Positive Pay entry, select the Delete Positive Pay button from the top right of the page.
