The Guest Signer functionality in CashCloud allows organizations to assign external signers (non-users) to sign payments, checks, or documents securely, even if they are not registered users on the platform.
What is a Guest Signer?
A Guest Signer is someone outside of your CashCloud user base who is authorized to sign on behalf of a payment or check. These are often executives, consultants, or temporary approvers.
How to Create a Guest Signer
Follow these steps to set up a new Guest Signer in your CashCloud account:
Go to the Settings section and click on Users & Permission module.
Click on Create Guest Signer.
Upload their signature, add their full name, enter their company role (optional), select the payors, and choose whether or not you want this signer to get notified that their signature has been uploaded into CashCloud (we strongly recommend this for security and transparency purposes).
Note: for best results, ensure that the signature is in high-definition and that it has a transparent background.
Important Notes
The signature image is stored securely and used in disbursement workflows requiring external signatures.
Guest Signers do not need a CashCloud login, but can participate in signing workflows.
You can edit or remove Guest Signers at any time from the signature management interface.
You can map the Guest Signer name and role to any text element in Design Studio so your checks can display the name and company role of the signer. These variables in Design Studio are called:
Signer name
Signer role
